Privacy Policy
Last updated: September 2026
SeeMySite ("we", "us", "our") provides roster and workforce management software, including GPS-verified site check-in, for businesses managing teams across one or more work sites. This policy explains what personal data we collect, why, how it's stored and protected, and what rights you have over it.
Who this applies to
This policy covers two kinds of people who use SeeMySite:
- Admins — people at a customer business who manage the account (setting up sites, workers, and schedules).
- Workers — people added by an admin to check in and out of sites, view their roster, and report hazards or incidents.
Each customer business's data is kept fully separate from every other business using SeeMySite.
What we collect
Depending on your role, we collect:
- Contact details — name, phone number, and email address (where provided), used to identify you and send invitations or notifications.
- Location data — your device's GPS coordinates at the moment you check in or out of a site, used to verify your location against that site's registered address. We do not track your location at any other time.
- Attendance and time records — check-in and check-out timestamps, used to generate timesheets.
- Photos — images you choose to attach to a hazard, incident, or work-completion report.
- Hazard and incident reports — any details you submit through the app.
- Account information — for admins, a login email and password (stored securely, never in plain text).
- Billing information — for the admin who manages billing, payment is processed directly by our payment provider, Stripe. We do not store your card details ourselves.
SMS and text messaging
If you're a worker, your employer (an admin on SeeMySite) may send you a text message inviting you to use the app, or notifying you about your schedule. By providing your phone number to your employer for this purpose, you agree to receive these SMS messages from SeeMySite on their behalf. Message and data rates may apply. You can opt out of future messages at any time by replying STOP, or by asking your admin to remove your number.
We do not use your phone number for marketing, and we do not sell or share it with third parties for their own marketing purposes.
How we use your data
- To verify site attendance and generate accurate timesheets.
- To let admins build and manage rosters, assign tasks, and organise their team.
- To alert relevant people to reported hazards or incidents.
- To send account-related communications — invitations, password resets, and service notifications — by email or SMS.
- To process billing for paid accounts.
- To maintain and improve the security and reliability of the service.
Who we share data with
We use a small number of trusted service providers to run SeeMySite. We share only what each provider needs to perform its function:
- Supabase — our database and authentication provider, which stores your account and app data.
- Vercel — hosts the application and website.
- Twilio — delivers SMS messages on our behalf.
- Resend — delivers transactional emails on our behalf.
- Stripe — processes payments for paid accounts.
We do not sell your personal data to anyone, for any purpose.
Data storage and security
Your data is stored on infrastructure provided by Supabase, with industry-standard encryption in transit and at rest. Each business's data is logically isolated from every other business's data. Access within our own systems is restricted to what's needed to provide the service.
How long we keep your data
We retain your data for as long as your business's account remains active, so records like timesheets and hazard reports stay available for as long as they're operationally useful. If an account is closed, we retain data only as long as reasonably necessary — for example, to meet accounting or legal obligations — after which it is deleted.
Your rights
Depending on where you live, you may have rights to access, correct, or delete the personal data we hold about you, or to object to certain uses of it. If you're a worker, many of these requests are best directed to the admin at your employer first, since they control your account — but you're welcome to contact us directly as well, and we'll help however we can.
Changes to this policy
We may update this policy from time to time as the service evolves. We'll update the date at the top of this page when we do.
